A junior accountant's TDS return file is rejected by the validation utility with an error file they do not understand.
The FVU checks structure and arithmetic: PAN format, mandatory fields, dates within the quarter, and that deductee rows total to each challan. Each error names the record and field to fix.
Latest return preparation utility and FVU versions, the challan register, deductee PAN list and the error file produced by the FVU.
A file that validates, uploaded before the due date, with source data corrected so the same error does not recur.
TDS return validation errors come from the file validation utility (FVU), not from the tax department. The usual causes are a PAN in the wrong format, challan details that do not add up, a missing field, a date outside the quarter, or an outdated utility. Each error message names the record and field to fix, so read the error file row by row.
The FVU is a free program from Protean (formerly TIN-NSDL). It checks your return file before you upload it. Nothing is filed until the file passes.
What are the common errors, and how do I fix them?
| Error type | What the message points to | Fix |
|---|---|---|
| PAN format | A PAN that is not 5 letters, 4 digits, 1 letter | Correct the PAN; use the PAN-not-available code only where truly missing |
| Challan amount mismatch | Deductee rows linked to a challan do not total its amount | Re-link rows or correct amounts |
| Deductee total | Tax in deductee rows does not match the challan’s TDS field | Correct the challan’s split of tax, interest and fee |
| Date after quarter end | A deduction date outside the quarter being filed | Move the row to the right quarter’s return |
| Missing mandatory field | Section, date or amount blank | Fill the field |
| Utility version | File made on an old version of the utility | Download the latest utility and regenerate |
Utility versions change, especially with the Income-tax Act 2025 forms for tax year 2026-27. If a file that worked last quarter now fails, check the version first.
Why does the utility accept a file that TRACES later flags?
The FVU only checks the file against itself. It does not know whether your challan exists, whether its balance is already used, or whether a PAN is valid in the department’s records. Those checks happen after upload, during processing by the Centralised Processing Cell.
So a file can pass the FVU and still be processed with defaults. That is when you see short payment or short deduction notices.
Do I fix the data in my accounting software or the utility?
- If the error is in the source data (a wrong PAN in the vendor master in Tally or Zoho Books), fix it there and export again.
- If the export is right but the utility entry is wrong (a typed challan serial number), fix it in the utility.
- Re-run the FVU after every change. A fix in one row can show up a second error.
- Keep the final error-free FVU output with the quarter’s papers.
A worked example: ₹58,000 against ₹60,000
Your Q3 file fails. The error file points to challan 2.
| Amount | |
|---|---|
| Challan 2 TDS amount | ₹58,000 |
| Deductee rows linked to challan 2 | ₹60,000 |
| Difference | ₹2,000 |
You trace the ₹2,000 to one deductee row (a 10 percent deduction on a ₹20,000 bill) that was paid through challan 3 but linked to challan 2. Check: ₹20,000 times 10 percent equals ₹2,000, and ₹60,000 minus ₹2,000 equals ₹58,000.
You move the row to challan 3, re-run the FVU and the file passes. If this had taken until 5 February, five days past the 31 January due date, the late fee would be ₹1,000 (₹200 times 5 days) under Section 234E.
