Small businesses using Zoho Books mix bank feeds and statement imports, then find duplicate lines and a books balance higher or lower than the bank.
Use feeds for routine daily lines and statement import for gaps such as periods older than 90 days or unsupported banks. Treat duplicates as suspect until checked against the bank statement, then exclude the extra line.
One primary source per account, statement imports only for clearly defined gap periods, a monthly check of the Zoho Books balance against the bank statement closing balance.
Each bank transaction appears once, feed glitches are caught quickly, and the month-end reconciliation agrees with the statement.
Bank feeds in Zoho Books pull your transactions in automatically through a banking service provider, for supported banks. Statement import takes a file you download from net banking and upload. Use feeds for day-to-day work and import to fill gaps. When a duplicate appears, check it against the real statement before you exclude it.
How do feeds and import compare?
| Bank feeds | Statement import | |
|---|---|---|
| Set-up | Connect the bank account once through Zoho’s banking provider | Download a file each time and upload it |
| Formats | Not applicable | Zoho’s India help lists PDF, CSV, TSV, XLS, OFX and QIF |
| Coverage | Supported banks only; Zoho’s help says feeds fetch only the last 90 days | Any period your bank lets you download |
| Duplicate risk | Provider glitches can repeat lines; manual entries can duplicate feed lines | Importing overlapping date ranges creates repeats |
| Who should use it | Businesses with a supported bank and daily activity | Unsupported banks, older periods, or a one-off clean-up |
For a PDF import, Zoho’s help advises using the file exactly as downloaded from the bank, without renaming it. For CSV, TSV and XLS files, you map the columns during import.
Why do duplicate feed lines appear, and how do you remove them safely?
Zoho’s help says duplicate feeds can come from a temporary glitch at the banking service provider. Its suggested steps:
- Compare the lines with your actual bank statement to confirm they really are duplicates.
- Exclude the duplicate lines.
- Write to Zoho Books support with the details so the provider can fix it.
- Refresh the feed, or turn automatic fetching back on.
Step 1 matters. Two payments of the same amount on the same day can be genuine, for example two equal rent payments for two premises. Only the statement tells you.
The other common source of duplicates is you, not the feed. If you record a payment by hand and then categorise the matching feed line as new, there are two. Match it instead. See Matched, Categorised or Manually Added.
A worked example
On 12 May you pay a supplier ₹31,800 by NEFT. The feed brings in the line twice.
| Source | Money out shown |
|---|---|
| Zoho Books (two feed lines) | ₹31,800 + ₹31,800 = ₹63,600 |
| Bank statement | ₹31,800 |
| Gap | ₹31,800 |
You check the statement: one debit, one UTR. You exclude one feed line and match the other to the payment you recorded. Zoho Books now shows ₹31,800 out, the same as the bank. The gap is closed.
If you had categorised both lines as expenses instead, your books would show ₹31,800 of extra cost and a lower bank balance than the bank itself.
Do feeds remove the need to reconcile?
No. A feed is a way to bring data in. It can be late, repeat a line or miss one. Reconciliation is the check that, on a given date, your books balance and the bank’s balance agree and every difference has a reason. Keep doing it every month, whichever source you use.
Should you use both?
You can, but with a rule. Pick feeds as the main source for each account. Use import only for periods the feed cannot reach, such as anything older than 90 days, and never for a date range the feed already covers. That one rule removes most overlap duplicates.
What does RBI say about failed transfers?
Not every pair of equal lines is a feed glitch. If the bank statement itself shows a ₹2,450 UPI payment debited twice, the bank really did debit you twice. The RBI circular of 20 September 2019 on turnaround time for failed transactions (in force from 15 October 2019) sets outer limits. If your account is debited for a UPI or IMPS transfer that never reaches the beneficiary, the beneficiary’s bank must reverse it by T+1, one day after the transaction date. For ATM cash not dispensed, the limit is T+5. For every day of delay beyond the limit the bank owes ₹100 per day, credited automatically without a complaint. In that case match the reversal credit against the second debit; do not exclude a line that is genuinely on the statement.
