A small business sees a different balance in Zoho Books than on the bank statement and cannot tell whether it is a missing entry, a duplicate or an opening error.
Check four causes in order: uncategorised lines, manual duplicates of feed lines, activity older than the 90-day feed window, and the opening balance. Use Opening Balance Offset only for an evidenced pre-start difference.
Banking module with the uncategorised list cleared, manually added entries checked against feed lines, older statements imported, and the opening balance compared with the bank statement as on the start date.
The Zoho Books balance agrees with the bank, and any opening adjustment is a single posting supported by the bank statement.
When the bank balance in Zoho Books is different from your actual bank balance, the cause is almost always one of four things: statement lines not yet matched or categorised, a manually added entry that duplicates a feed line, activity older than the 90-day feed window, or an opening balance that never agreed with the bank. Zoho’s own help page lists these same causes.
What are the likely causes and how do you fix them?
| Cause | How to spot it in Banking | Fix |
|---|---|---|
| Uncategorised statement lines | The bank account shows lines waiting under the uncategorised list | Match each one to an existing entry or categorise it |
| Manual entry duplicating a feed line | Two entries for the same amount and date, one Manually Added and one from the feed | Match the feed line to the manual entry instead of keeping both; exclude the extra line if it is a duplicate |
| Activity older than 90 days | The feed starts later than the date you started using Zoho Books | Add older transactions by hand or import a statement for that period |
| Opening balance wrong | The difference is the same amount every month | Correct the opening balance, using Opening Balance Offset if the gap is from before your start date |
Work through them in this order. The first two are the most common and the cheapest to fix.
What is an Opening Balance Offset entry and when is it legitimate?
Opening Balance Offset is an account Zoho Books uses so that opening figures balance. Zoho’s help shows how to post a difference through it:
- If the Zoho Books balance is lower than the bank: add a Money In transaction, choose Deposit from Other Accounts and set the From Account to Opening Balance Offset.
- If the Zoho Books balance is higher: add a Money Out transaction, choose Owner Drawings and set the To Account to Opening Balance Offset.
This is legitimate only when the difference comes from before you started using Zoho Books and you can prove it. Otherwise it is a plug: a number that makes the balance agree without explaining why.
Worked example. You started Zoho Books on 1 April. Zoho Books shows ₹2,10,000 as the opening bank balance. The bank statement on 31 March shows ₹2,35,500.
Difference: ₹2,35,500 − ₹2,10,000 = ₹25,500, with Zoho Books lower.
Before posting anything, look for the cause. Perhaps the ₹2,10,000 came from your old books, which never recorded a ₹24,000 customer NEFT and ₹1,500 of interest that the bank credited in late March (₹24,000 + ₹1,500 = ₹25,500). If you can tie the ₹25,500 to evidence like that, post it once through Deposit from Other Accounts with Opening Balance Offset, attach the 31 March statement, and note the reason. Zoho Books now opens at ₹2,35,500.
If the same ₹25,500 gap appears again next month, the offset was not the right fix. Something is still being missed or duplicated.
Why do older transactions not appear automatically?
Zoho’s help says bank feeds fetch only the last 90 days. If you connect your bank in July but began using Zoho Books in April, April and part of May may never arrive through the feed. The fix is to import a statement file for the missing period or add those transactions by hand. Then match and categorise them like any other line.
Why do duplicates happen in the first place?
A common pattern: you record a supplier payment the day you make it (Manually Added), and two days later the same payment arrives through the feed. If you categorise the feed line as a new expense, you have two payments. Always try Match first. The guide on Matched, Categorised and Manually Added explains the rule.
