A seller's weekly marketplace settlement shows zero or a negative amount and no bank credit arrives, causing worry that money is owed or lost.
Split the settlement into fresh deliveries and deductions for earlier returns and charges; a negative net is carried forward against the marketplace receivable.
The weekly settlement report, a receivable ledger per marketplace, a returns register and the seller terms on negative balances.
Each negative week is booked as a reduction of the marketplace receivable, with the carried-forward amount matched when the next payout nets it off.
A marketplace settlement goes to zero or below when the returns, return shipping and other charges in the period are larger than the sales delivered in it. It does not mean the marketplace has taken your money. Some marketplaces, such as Meesho, carry a negative balance forward and recover it from your next payouts instead of debiting your bank, though the exact treatment depends on each platform’s seller terms.
What are the likely causes?
| Cause | Why it pushes the settlement down |
|---|---|
| Heavy returns from earlier weeks | Returns are deducted when confirmed, often weeks after the sale was paid |
| Reverse-shipping charges | You pay to bring the item back |
| Weight or dimension charges | A re-weighed parcel moves to a higher fee slab |
| Advertising debits | Ad spend is often recovered from settlements |
| Penalties | Late dispatch or cancellation penalties under seller policy |
| A rejected claim | A claim for a damaged return is refused and the reversal stays |
| TCS adjustments | TCS is on net value, so heavy returns change the TCS line |
The most common driver is simple: a slow sales week that follows a high-return week.
Do I owe the marketplace money?
Usually the negative is netted from future payouts. The marketplace keeps a running balance for you, and next week’s sales first fill the hole. Read your seller agreement and check for any debit notice or payment request. If the balance stays negative for a long time, or you stop selling, the marketplace may ask you to pay it.
Where does a carried-forward balance show in my books?
Not in the bank. It shows as a reduction of the marketplace receivable in the period the return or charge was confirmed.
Think of the marketplace receivable as an account the marketplace owes you. Sales increase it. Fees, returns and payouts reduce it. If returns and charges are bigger than new sales, the balance can turn into an amount you owe the marketplace for a short time. That is fine as long as it is recorded and cleared.
A worked example
This week a seller’s report shows:
| Line | Amount |
|---|---|
| Fresh deliveries | ₹26,400 |
| Return reversals for earlier orders | ₹22,500 |
| Reverse-shipping charges | ₹4,200 |
| Weight-difference charges | ₹1,600 |
| Advertising debit | ₹3,000 |
| Late-dispatch penalty | ₹600 |
| Net settlement | minus ₹5,500 |
Check: ₹22,500 + ₹4,200 + ₹1,600 + ₹3,000 + ₹600 = ₹31,900, and ₹26,400 − ₹31,900 = minus ₹5,500.
No bank credit arrives. Next week, fresh deliveries net of fees come to ₹40,000. The marketplace first recovers the ₹5,500, so the bank receives ₹34,500 (before that week’s own deductions, which are left out to keep the example simple).
In the books for this week, debit Sales Returns ₹22,500 and the relevant expense accounts ₹9,400 (₹4,200 + ₹1,600 + ₹3,000 + ₹600), and credit the marketplace receivable ₹31,900. The receivable, which rose by ₹26,400 for fresh deliveries, falls by ₹5,500 overall. Make sure returned goods are counted back into stock.
What should I check before accepting the figure?
- Each return reversal matches an item that actually came back, by order ID.
- Reverse-shipping and weight charges match the fee schedule.
- Advertising debits match the ad console for the same dates.
- Penalties have a policy reason you can see in the seller panel.
- TCS on returns has been reduced, not left at the gross-sale level.
Raise a claim for any return reversal where the product did not come back or came back damaged.
